- We never sell your data or use it for advertising.
- Students under 18 need a parent’s or guardian’s consent.
- You can ask to see, correct or delete your data at any time by writing to info@acadapp.in.
1.Who we are
ACAD Online Coaching (“ACAD”, “we”, “us”) runs acadapp.in and its related services, including api.acadapp.in, our online classrooms, study materials, tests and AI learning tools (together, the “Service”). The Service supports students, parents, tutors and our administrators.
This policy explains what personal data we collect, why we use it, who we share it with and the choices you have. It is written to meet India’s Digital Personal Data Protection Act, 2023 (“DPDP Act”), the Information Technology Act, 2000 and its rules, and the Google API Services User Data Policy.
2.Data we collect
Information from your Google account
You sign in with Google. With your permission, Google shares your name, email address and profile picture with us. We never see or store your Google password.
Information you give us
- Profile details: phone or WhatsApp number, role (student, parent or tutor), class or grade, school, syllabus (for example CBSE or State Board), subjects and a general location.
- Parents: the students (wards) you link to your account.
- Tutors: qualifications, subjects you teach, experience, a short bio, availability, payout records and anything you submit during approval.
- Enquiries and requests: details you enter in enquiry, enrolment, home-tuition and registration forms.
- Payments: fee amounts, payment dates and payment-proof screenshots or references you upload. We do not collect or store card numbers, UPI PINs or bank passwords.
- Learning content: assignments, answers, test responses, GradeMe attempts, questions asked to our AI tutor, and files you upload.
Information created as you use the Service
- Enrolments, class schedules, attendance, topics covered, test scores and progress reports.
- Basic technical data needed to run the Service securely, such as session cookies, IP address, browser type and error logs.
Device location (only if you allow it)
Features such as “Find teachers near you” and home-tuition matching can ask your browser for your location. This happens only after you tap the feature and your browser asks for permission. You can refuse and enter a location manually instead.
3.Google user data and Google Calendar
ACAD uses Google APIs in two ways:
| Permission (scope) | When we ask | What we do with it |
|---|---|---|
| openid, email, profile | Every sign-in | Create and identify your ACAD account, and show your name and photo inside the app. |
| Google Calendar events (calendar.events) | Only when an administrator or tutor chooses “Connect Google Calendar” | Create class events with Google Meet links and reminders on the connected calendar, so students receive the class link and schedule. We do not read, edit or delete your other calendar events. |
When you connect Google Calendar, we store an access token and refresh token securely on our servers so classes can be scheduled without asking you to sign in each time. You can disconnect at any time from your Google Account at myaccount.google.com/permissions, or by writing to us.
Limited Use disclosure. ACAD’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we:
- use Google user data only to provide or improve the features described above, which you can see in the app;
- do not sell Google user data, and do not use or transfer it for advertising, credit-worthiness or lending decisions;
- do not use Google user data to train or improve general-purpose artificial intelligence or machine-learning models;
- do not allow humans to read Google user data unless you ask us to, it is needed for security or to comply with law, or it has been aggregated and anonymised for internal operations.
4.How we use your data
- To create your account and give you the right access as a student, parent, tutor or administrator.
- To enrol students, match them with tutors, schedule classes, share class links and record attendance and progress.
- To deliver study materials, tests, GradeMe practice and AI tutoring.
- To record fees, issue admission cards and receipts, and process tutor payouts.
- To send class reminders, links and important updates by email, WhatsApp or SMS.
- To answer your enquiries and give support.
- To keep the Service secure, prevent misuse and fix problems.
- To meet legal, tax and accounting obligations.
We process your data on the basis of your consent, which you give when you sign up or connect a feature, and for legitimate uses allowed under the DPDP Act, such as complying with law. We do not use your data for third-party advertising and we do not sell it.
5.AI-powered features
Some features, including the NEET/JEE Smart Tutor, GradeMe and the question-paper generator, use artificial intelligence. When you use them, the text of your question or the study topic is sent to our AI processing provider to generate a response. We send only what is needed for the answer and avoid sending your name, email or phone number with it.
AI answers can be wrong. Check important answers with your tutor or textbook. We do not send any data received from Google APIs to AI providers.
7.Children and students under 18
Many of our students are under 18. Under the DPDP Act, we need the verifiable consent of a parent or lawful guardian to process a child’s personal data. A parent or guardian should create or approve the account, or confirm consent during enrolment.
We do not track children’s behaviour for advertising, show them targeted advertising, or process their data in ways likely to harm their well-being. Parents can see, correct or ask us to delete their child’s data by contacting us.
9.How long we keep data
- Account and learning records: while your account is active, and up to 2 years after your last activity so you can return and see your progress.
- Fee, payment and payout records: for as long as Indian tax and accounting laws require, usually 8 years.
- Google Calendar tokens: until you disconnect Calendar or your account is closed.
- Enquiries from people who did not enrol: up to 1 year.
After these periods we delete data or anonymise it so it can no longer identify you.
10.How we protect data
Data is sent over encrypted HTTPS connections. Access to student, fee and tutor records is limited by role, and only authorised staff can see administrative data. Secrets and tokens are stored as encrypted server-side secrets, not in the app’s code.
No system is perfectly secure. If a personal data breach affects you, we will inform you and the Data Protection Board of India as the law requires.
11.Your rights and choices
You, or a parent or guardian for a child, can:
- ask what personal data we hold about you and how we use it;
- correct, complete or update your data (most profile details can be changed on your Profile page);
- ask us to delete your data and close your account;
- withdraw consent, for example by disconnecting Google Calendar or turning off location access. Some features may stop working, but earlier processing stays lawful;
- nominate another person to exercise these rights if you die or become unable to;
- raise a grievance with us, and if you are not satisfied, complain to the Data Protection Board of India.
Write to info@acadapp.in from your registered email. We aim to reply within 7 days and resolve requests within 30 days.
12.Changes to this policy
We may update this policy as the Service changes. We will post the new version on this page with a new date, and tell you by email or in the app if a change significantly affects how we use your data.
